Executive Assistant (General Counsel and CPO)

Joining Collibra's Executive Assistant team:

Collibra is looking for a highly organized, detail-oriented Executive Assistant to support our General Counsel and Chief People Officer.  

You are a trusted professional who will act as an extension of the General Counsel and Chief People Officer in terms of voice, judgment and decision-making. You serve as a role model in terms of professional maturity, integrity/confidentiality and demeanor . You anticipate needs and plan accordingly, act with a sense of urgency, and advise and coordinate solutions to day-to-day problems. It will be critical to work collaboratively with Collibra’s other Executive Assistants.

Executive Assistants at Collibra are responsible for:

  • Extensive scheduling, monitoring and prioritizing of all day-to-day incoming communication and requests for time
  • Keeping the executives on time and ensuring that they are well-prepared for all meetings
  • Drafting correspondence, including to the Collibra’s Board of Directors.  
  • Assistance in preparing and formatting slide presentations and preparing and editing other documents, including legal agreements.  Coordinate execution of legal agreements and other documents.
  • Planning, coordinating and scheduling all meetings, including: Board Meetings, 1:1s, small and large group meetings, including leadership team meetings, All-Hands, QBRs, off-sites
  • Anticipating and resolving any scheduling conflicts and managing all administrative details for Board Meetings, team meetings and offsites  
  • Reconciling expenses and budgets monthly, demonstrating Collibra’s core values, including tracking outside counsel expenses.  Processing and tracking expense invoices.
  • Arranging all travel including flights, hotels, ground transportation;  creating detailed itineraries; obtaining visas, passport renewals or any other travel documents
  • Running ad hoc projects and initiatives
  • Light scheduling and coordination of personal requests

You Have:

  • 8-10 years minimum experience in an Executive Assistant role supporting a senior executive, preferably in an area with confidentiality requirements.  
  • Experience as a legal secretary is a significant plus.
  • Heavy calendar, travel, and meeting planning experience.
  • Strong project management skills; ability to think ahead and anticipate needs – from the most mundane to the most complicated.
  • Excellent Mac skills and proficiency in Google Calendar; Solid Excel skills; experience with budget tracking and expense management software is a plus

Standard in-office hours are 9am-6pm; require flexible availability at times (M-F 8a-7p); periodic but limited needs on weekends or after hours; some texting in the morning and at night for critical items only.
